Quick answer: You can send Facebook lead form leads to Google Sheets in four ways: Meta's free native Google Sheets integration (set up per form under Instant Forms → CRM setup in Meta Business Suite), a lead-sync tool such as LeadSmart, a general automation tool like Zapier, Make, Pabbly or n8n, or a manual CSV download. Use the native integration if you only need one sheet per form. Use a tool when you also need instant alerts, a dashboard, a webhook or lead-quality feedback to Meta.
Facebook and Instagram lead ads collect enquiries inside Meta's instant forms, not on your website. Unless you move those leads somewhere, they sit in Meta's Leads Center, where Meta only keeps them available for download for 90 days. Google Sheets is the most common first destination because everyone on the team can open it, filter it and build simple reports from it.
This guide covers every option, how to set each one up, the columns worth keeping, and the problems that quietly stop leads from arriving. It is written for business owners and marketers, so there is no code.
Which method should you use?

Method 1: Meta's native Google Sheets integration
Meta now lets you connect an instant form directly to a Google Sheet, without Zapier. Menu names in Meta Business Suite change from time to time, but the path at the time of writing is:
- Open Meta Business Suite and go to All tools → Instant Forms.
- Open CRM setup and choose Google Sheets.
- Sign in with the Google account that owns the sheet and allow access.
- Create a new integration, then paste the link to an existing sheet or create a new one.
- Pick the worksheet and the instant form you want to connect.
- Optionally choose to sync existing leads, which copies the form's past leads that Meta still stores.
- Send a test lead and check that a new row appears before you finish.
Meta creates the header row and adds each new submission as a row, with your form fields plus details such as the ad, campaign, form and platform.
Where the native integration falls short
- One sheet per connection. The lead goes to the sheet and nowhere else. There is no dashboard, webhook or CRM hand-off.
- Fixed columns. You cannot rename, reorder or filter what Meta writes, so avoid inserting columns in the middle of the data it writes.
- Silent failures. If the Google sign-in expires or someone removes access to the sheet, new rows simply stop. Check the sheet after every form change.
- No feedback to Meta. Marking a row as "junk" or "converted" in the sheet does not tell Meta anything, so your campaign keeps optimising for form fills.
If you also want a phone alert, Meta is rolling out a separate Lead notifications setting at the ad level (under Automated lead delivery) that can notify you on WhatsApp, Messenger, Facebook, the Ads Manager app or by email. It is not available in every account yet.
Method 2: a lead-sync tool such as LeadSmart
A dedicated tool connects to your Facebook Page once and then handles every form. LeadSmart captures each new lead from your Facebook and Instagram instant forms and, at the same moment:
- writes it to your Google Sheet in real time,
- adds it to the LeadSmart dashboard, where you can label it, add notes, call, WhatsApp or email it with one click, and export your leads,
- sends an instant WhatsApp alert to your business number, using your own WhatsApp Business API keys,
- sends it to your lead webhook, so a CRM or a workflow tool like n8n gets it too.
The part a sheet can never do on its own comes next. When you label a lead in LeadSmart, for example "Qualified" or "Site visit booked", LeadSmart sends the Meta event you mapped to that label through the Conversions API. Meta then learns which leads were real, not just which people filled in the form. We explain this in how to send lead quality back to Meta.
Setup takes a few guided steps: connect your Facebook Page, choose your forms, connect Google Sheets and add your WhatsApp number. LeadSmart costs ₹499/month including GST on the current offer (regular price ₹1,499), with a 14-day free trial and no credit card. See pricing.
Method 3: Zapier, Make, Pabbly Connect or n8n
General automation tools can watch for new Facebook leads and add a row to Google Sheets. They make sense when Sheets is one step in a bigger workflow you already maintain.
- Zapier lists Facebook Lead Ads as a premium app, so you need a paid Zapier plan, and each action step uses tasks from your plan.
- Pabbly Connect and Make price by tasks or operations, so costs grow with lead volume and the number of steps.
- n8n can be self-hosted, but someone has to run and maintain it.
Whichever you choose, you build and maintain the workflow yourself: connections expire, forms change and errors need watching.
Method 4: download leads manually
You can download leads as a CSV or Excel file from Meta's Leads Center or from Instant Forms in Meta Business Suite, then paste or import them into Sheets. This is fine for a one-off backfill, but it is slow, nobody gets alerted, and leads older than 90 days can no longer be downloaded. Use it to rescue recent leads you missed, then switch to an automatic method.
Which columns should your lead sheet have?
Whatever method you use, a few columns make the sheet far more useful:
- Lead ID from Meta, if your method provides it. It is the only reliable way to remove duplicates and to match a lead back to Meta later.
- Created time, so you can measure how fast leads are called back.
- Form, campaign and ad name, so you can see which ad brings the good leads.
- Phone verified, if you use SMS verification. Meta's downloads include a
phone_number_verifiedcolumn. - Status and notes columns that your team fills in. Keep them to the right of the data the integration writes so new rows never overwrite them.
Troubleshooting: leads are not showing up in Google Sheets
- Send a test lead with Meta's Lead Ads Testing Tool and watch for a new row.
- Check the Google connection. Changed passwords, removed sharing or a deleted worksheet break the link.
- Check the form. A new or duplicated form is a new form. Connect it too.
- Check Page lead access. If your Page uses Leads Access settings, the tool or integration must be allowed to read leads.
- Check the sheet. Very large sheets get slow. Google Sheets has a limit of 10 million cells per spreadsheet, so archive old leads each year.
Google Sheets is a start, not the finish
A sheet tells you what happened. It does not ring your phone when a hot lead arrives, and it does not teach Meta to find more people like your best customers. That is why most teams pair the sheet with an instant alert and a way to send lead quality back to Meta. FAQ
Can I send Facebook lead form leads to Google Sheets without Zapier?
Yes. Meta has a free native Google Sheets integration under Instant Forms → CRM setup in Meta Business Suite, and tools like LeadSmart sync leads to Google Sheets while also sending WhatsApp alerts, a webhook and lead-quality events to Meta.
Does Meta's Google Sheets integration copy old leads?
It can. During setup you can choose to sync existing leads, which copies the form's past leads that Meta still stores. Meta only keeps leads available for download for 90 days, so older leads cannot be recovered by any method.
How long does Facebook keep lead form data?
